Role Overview
This is a key temporary position, initially for 3 to 6 months, supporting the operations of a busy depot.
The role focuses on delivering high standards of administrative support to ensure smooth communication between clients, operations, and internal teams.
The successful candidate will play a vital part in service delivery, issue resolution, and overall operational efficiency.
Key Responsibilities
- Serve as the first point of contact for all customer enquiries, providing a professional and efficient service
- Manage the resolution of delivery issues, delays, and discrepancies, maintaining clear and proactive communication with customers
- Handle phone and email correspondence in a timely and professional manner
- Collaborate with depot colleagues to provide updates on the movement of customer goods
- Prepare and distribute proof of delivery (POD) notes for collections and deliveries
- Process returned POD paperwork, following up with drivers on missing or incomplete documentation
- Administer specific contracts, maintaining accurate records and documentation
- Complete data entry tasks across various internal systems with high attention to detail
- Raise Purchase Orders on behalf of the operational team when required
- Approve purchase invoices via the company’s system, ensuring accuracy and alignment with PO numbers and completion dates
- Provide general administrative support to the depot as required
- On-call 1 in 4, working from home booking in urgent jobs in line with SLAs.
- Comply with all company quality, health, safety, and environmental policies and procedures
- Adhere to all site-specific safety protocols
Skills & Experience
- Proven experience in an administrative role within a fast-paced environment
- Excellent communication and customer service skills
- Strong organisational abilities and attention to detail
- Competence in Microsoft Office
- Ability to prioritise tasks and work independently as well as part of a team
- Familiarity with depot operations or logistics is advantageous but not essential
Offering
- Temporary role, based in Cumbernauld
- Monday to Friday, 09:00–18:00 (1-hour unpaid lunch)
- Salary: £27,040 per annum
- On-call 1 in 4 additional pay
