Role Overview
This is an excellent opportunity for an organised and detail-focused Logistics & Purchasing Coordinator to join a busy and established organisation. Reporting to the Stock & Logistics Controller, the successful candidate will play an important role in coordinating purchasing, stock movements and international freight while maintaining accurate records throughout the supply chain process.
The position offers a varied workload encompassing supplier orders, goods received, invoice checking, customs documentation and the coordination of UK and international shipments. The role requires someone with strong organisational skills, excellent attention to detail and the ability to build effective relationships with suppliers and freight forwarders.
Key Responsibilities

Place purchase orders with suppliers and monitor orders through to delivery.

Maintain and update order tracking spreadsheets.

Monitor supplier lead times and provide updates on stock availability.

Book incoming stock accurately onto the internal system.

Record stock shortages and maintain credit tracking documentation.

Request and monitor supplier credit notes.

Record Goods Received Notes (GRNs) and maintain the Goods In Summary tracker.

Check supplier invoice pricing and match invoices against corresponding GRNs.

Maintain accurate invoice and GRN documentation.

Register supplier invoices within internal tracking systems.

Create and maintain new product and stock codes.

Produce weekly customer stock reports and update information online.

Check freight invoices and accurately record associated costs.

Match customs documentation against freight invoices and record applicable duties.

Prepare commodity codes and customs instructions.

Raise declarations through the Trade Support Service portal for Irish shipments.

Obtain transport quotations from freight forwarders.

Organise and coordinate sea, road and air freight shipments.

Work closely with suppliers and freight forwarders to ensure shipments are delivered efficiently and within agreed timescales.

Assist with the calculation and input of landed costs.

Support the Sales team with the preparation of reports.

Provide courier and dispatch cover when required.

Maintain accurate purchasing, logistics and shipping documentation.
Skills & Experience
- Previous experience within purchasing, logistics, supply chain, imports & exports or a similar coordination role.
- Experience placing and managing supplier purchase orders.
- Good understanding of stock control and goods received processes.
- Experience coordinating freight and working with freight forwarders.
- Knowledge of import/export procedures and customs documentation would be advantageous.
- Experience with commodity codes and customs declarations would be beneficial.
- Strong numerical skills with the ability to check invoices, freight costs and associated documentation accurately.
- Excellent attention to detail and record-keeping skills.
- Strong organisational skills with the ability to coordinate multiple orders and shipments simultaneously.
- Confident using Microsoft Excel, spreadsheets and internal business systems.
- Excellent communication skills with the ability to develop effective relationships with suppliers, freight forwarders and internal teams.
- Proactive approach with strong problem-solving skills.
Offering
- Salary: Circa £33,000 per annum, depending on experience.
- Excellent annual discretionary bonus opportunity.
- Full-time, permanent position.
- Based in East Kilbride.
- Working hours: Monday to Friday, 9:00am – 5:00pm.
- One-hour lunch break.
- 20 days annual leave plus statutory holidays
- Option to purchase an additional 5 days annual leave per year.
