Job Description

Murray Recruitment are recruiting for an experienced Contract Administrator for a permanent opportunity our client who are a leading facilities management company based in Glasgow.

Reporting to the Helpdesk Manager will be responsible to ensure that all planned maintenance and reactive works are planned and scheduled in line with SLA’s and client requirements and carrying out all supporting contract admin.

Duties Include

  • Planning of Reactive and Planned Maintenance works in line with SLAs and client requirements.
  • Coordination Planning of access arrangements between sub-contractors / engineers and the relevant client representative for each client site.
  • Creating and issuing Purchase Orders to sub-contractors as required for reactive and planned works, and for obtaining the required level of financial approval on the system.
  • Effectively communicate high priority faults to senior management, ensuring seamless coordination with the relevant sub-contractors and engineers, providing timely updates until resolution.
  • Ensure system remains updated in accordance with sub-contractor attendance times, maintaining accurate and up-to-date records.
  • Promptly obtain and upload sub-contractor paperwork to the appropriate work orders on the system for both reactive work and PPMs.
  • Foster strong relationships with the field operations team, sub-contractors and client representatives to ensure the highest standards of communication are maintained.
  • Responsible for updates and amendments to the PPM schedules on the CAFM system.
  • Providing support and cover for other team members as required.

Experience required

  • Experience within a similar helpdesk / planning / coordinator position.
  • Experience of MS Office application.
  • Excellent administration and time management skills.
  • Strong communication skills.
  • Ability to work under pressure and meet tight deadlines.

Package

  • Salary is up to £25,116K
  • Working Monday – Friday 8am – 5pm
  • Holidays 25 basic plus public holidays
  • Hybrid working after training, 3 days at home / 2 days in office (always in office each Thursday)
