Murray Recruitment is currently seeking a skilled and proactive Service Administrator to join our client’s expanding team in a permanent post. In this role, you will be key to supporting contract fulfilment by coordinating Planned Preventative Maintenance (PPM) and Reactive Works, ensuring compliance with contract Service Level Agreements (SLAs) and managing associated documentation.

Job Description

Main Duties

  • PPM and Reactive Works Coordination. Schedule, monitor, and oversee all PPM and Reactive tasks, ensuring jobs are logged, coordinated, and completed efficiently in line with contract SLAs.
  • Job Analysis and Costing: Review job sheets, calculate costs, and generate detailed job cost reports.
  • Order Management: Raise purchase orders for essential equipment, materials, and plant to ensure each contract is properly resourced.
  • Client Communication: Maintain regular communication with clients, providing updates on job progress and promptly addressing any queries to foster strong client relationships.
  • Contract Documentation: Prepare and manage contract documentation, ensuring all records are accurate, current, and filed systematically.
  • Contract Reporting: Track, analyse, and report on contract progress, costs, and compliance.
  • General Service Administration: Perform various administrative tasks to support the contracts division, ensuring all contract-related activities are well-documented and coordinated effectively.

Skills & Experience

  • Service Administration Background: Demonstrable experience in service or helpdesk administration, ideally within the construction, building services, or facilities management sectors.
  • Technical Skills: Strong IT skills, with proficiency in job management systems (e.g., Concept, Job Logic) and Microsoft Office.
  • Effective Communication: Excellent written and verbal communication skills, capable of building strong relationships with both clients and internal teams.
  • Team Player with Initiative: Able to work well within a team yet independently manage responsibilities, demonstrating initiative and accountability.
  • Organisational Skills: Highly organised and detail-oriented, able to handle multiple tasks and manage deadlines effectively.

Offering

  • Salary: £24k – £28k DOE
  • Working Hours: Monday to Thursday: 08:00 – 16:30 and Friday: 08:00 – 15:45
  • Hybrid Working: Initially full-time office-based in Hillington during training, then hybrid working available (3 days office-based, 2 days remote) after three months.
  • Holiday Entitlement: 20 days’ annual leave plus 8 statutory holidays, with additional days between Christmas and New Year.
